Privacy Policy
Effective October 4, 2026
Test Drive Valet is software that car dealerships use to check customers in for a test drive. This policy explains what information is collected when you check in at a dealership that uses it, what it is used for, who can see it, and the choices you have.
Who we are
Test Drive Valet (“we”, “us”) provides the check-in kiosk and the record-keeping system. The dealership you are visiting decides to use it and is responsible for the test drive itself. We process your information on the dealership’s behalf and to operate the service.
Questions about this policy or about your information: admin@testdrivevalet.com.
What we collect at check-in
- Contact details you type: your mobile phone number and email address.
- Information from your driver’s license: your name, date of birth, address, license number, issuing state, issue and expiry dates, and the other details encoded on the license, read from its barcode, together with photographs of the front and back of the license.
- Your insurance card, as a photograph, if the dealership asks for one. If you do not have the card with you, you can instead tell us the name of your insurance company and your policy number, or skip the step.
- A photograph of you, taken at check-in with the front camera of the dealership’s device, if the dealership asks for one. It is kept with your test drive record so the dealership can see who drove the vehicle. We do not use it for facial recognition, and we do not compare it with anything.
- The test drive: the vehicle or vehicles you drive, the salesperson helping you, and the times you left and returned.
- The agreement you sign: the text of the dealership’s test-drive agreement as shown to you, your signature, and the date and time you signed.
- Text-message consent: if you tick the box asking to be texted, the fact that you agreed, when, and the wording you agreed to.
- Device details: basic technical information about the kiosk used for your check-in.
If you return to the same dealership and give the same mobile number or email, the check-in recognizes you and offers to use the license already on file there instead of scanning it again, as long as it has not expired. It greets you by first name and last initial only. You can always choose to scan your license again instead.
If you check in a second time on the same day to drive another vehicle, the device shows your name and the portrait from the license photograph you gave that day, so you can pick out your own check-in. To do that the device finds where the face is in the photograph and crops to it. This happens on the device, the cropped picture is not saved or sent anywhere, and nothing identifies you by your face or compares one face with another.
If you choose not to have your license scanned, the dealership may record that instead, along with the reason.
How the information is used
- To create a record of who drove which vehicle, when, and under which agreement.
- To confirm your identity and that your license is valid for a test drive.
- To check your name against the United States Treasury’s list of sanctioned parties, which dealerships are required to do.
- To pass your contact details and the vehicle you drove to the dealership’s own customer system, so the dealership can follow up with you.
- To send you text messages about your visit, if you asked for them.
- To give the dealership reports about its test drives, such as busy times and which vehicles are driven. These reports use totals and do not single out individual customers.
- To operate, secure and troubleshoot the service.
We do not sell your personal information, and we do not use it to advertise other companies’ products to you.
Text messages
We send text messages only if you tick the box at check-in asking for them. Agreeing is optional and is not a condition of taking a test drive or of any purchase.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile phone numbers and text-message consent are not sold, rented or shared with third parties or affiliates for their marketing or promotional purposes. They are shared only with the service providers that deliver the messages for Test Drive Valet and with the dealership you visited.
Reply STOP to any message to stop receiving them, or HELP for help. Message frequency varies. Message and data rates may apply. See the SMS Terms in our Terms & Conditions.
Who can see your information
- The dealership you visited, through a password-protected portal available to its authorized staff.
- Service providers that host the service and deliver messages for us — for example our database and file-storage host, our email provider and our text-message provider. They may use the information only to provide those services to us.
- Authorities or other parties when the law requires it, or when it is necessary to protect someone’s rights or safety or to respond to a claim arising from a test drive.
- A successor, if the service is transferred as part of a merger or sale, subject to this policy.
How it is protected
Records are kept separately for each dealership, so one dealership cannot see another’s customers. Photographs of licenses and insurance cards and signed agreements are kept in private storage and are shown to authorized dealership staff through links that expire. Access to records is logged. No system is perfectly secure, but we work to protect your information and to limit who can reach it.
How long it is kept
Each dealership sets how long the records of its test drives are kept, in line with its own legal and insurance obligations. You may ask for your information to be deleted sooner; see below.
Your choices
- Text messages: reply STOP at any time.
- Access, correction and deletion: you may ask what information is held about you, ask for it to be corrected, or ask for it to be deleted. Contact the dealership you visited or email admin@testdrivevalet.com. Some records may need to be kept where the law or a pending claim requires it.
- License scan: you may decline to have your license scanned. The dealership decides whether a test drive can go ahead without it.
Depending on where you live, you may have additional rights under your state’s privacy law. We will honor requests made under those laws.
Children
The service is for licensed drivers and is not directed to children under 16.
Changes to this policy
If this policy changes, the new version will be posted at this address with a new effective date.
